Information we collect

We collect only what we need to schedule and provide your care and to run our business:

• Contact details: your name, phone number, email address, and, if you choose to give it, your date of birth or mailing address.
• Appointment details: the services you book, your appointment history, therapist preferences, and notes about your visits.
• Health history: information you share on intake and health history forms, such as injuries, conditions, medications, pregnancy, and areas of concern. We use this to keep your sessions safe and tailored to you.
• Payment details: your payment is handled by our payment processor. We do not store full card numbers on our own systems.
• Messages: the texts, emails, and call details you exchange with us.
• Website information: basic technical data such as your browser type and pages visited, which our website platform may collect automatically.

How we use your information

• To book, confirm, and remind you of appointments.
• To provide safe, personalized massage and wellness services.
• To process payments, gift cards, packages, and memberships.
• To respond to your questions and messages.
• To send occasional news, offers, and wellness reminders where you have agreed to receive them. You can opt out at any time.

Text messages

If you give us your mobile number and agree to receive texts, we may send appointment confirmations, reminders, service updates, and replies to your questions, and, if you opted in to them, occasional promotions. You can opt in to promotional texts by checking the box when you book online, by completing a form that includes a text opt-in, or by texting START to our studio number. We keep a record of your consent. If you opt in, we may send promotions for up to two years after your last visit, purchase, or form submission, unless you opt out sooner. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out, or HELP for help. Consent to receive texts is not a condition of buying any service.

We do not sell or share your mobile phone number or text messaging opt-in information with third parties for their marketing purposes.

Who we share information with

We do not sell your personal information. We share it only with the service providers that help us run RCTM, and only as needed for them to do so. These include our online booking, client management, payment, and messaging platform (Mangomint), our website host, and our email provider. We may also share information when the law requires it, to protect someone's safety, or with your direction, for example if you ask us to send records to another provider.

Health information

Your health history is used only to provide your care and is shared only with the therapists treating you and the service providers described above. We keep it confidential and do not use it for marketing.

Cookies and website technology

Our website, and the booking tools embedded in it, may use cookies or similar technology to make the site work, remember your preferences, and understand how the site is used. You can control cookies through your browser settings. Blocking some cookies may affect how the booking tools work.

How we protect your information

We use reasonable safeguards to protect your information, including password-protected accounts, access limited to our team, and reputable third-party platforms. No method of storing or sending information is completely secure, so we cannot promise absolute security.

How long we keep information

We keep client records for a minimum of one year. Electronic records, such as your booking history and the information in our client management system, are kept indefinitely so we can provide continuity of care, meet our legal and professional obligations, and resolve any questions about your services.

Your choices

You may ask us to see, correct, or update the information we hold about you, or to stop marketing emails or texts. You may also ask us to delete your information. Because we keep records for the periods described above, we may not be able to delete everything, but we will tell you what we can do. Contact us using the details below and we will respond as soon as we can.

Children

Our website is not directed to children under 13, and we do not knowingly collect their information online. Services for minors require a parent or guardian to book and consent.
